Job Description: |
1. Job Purpose
The Monitoring & Reporting Officer is responsible for tracking project performance, documenting progress, collecting and analysing field data, and ensuring timely, accurate, and quality monitoring reports to the senior management and donor agency. The role ensures that project implementation aligns with the logical framework, indicators, and accountability standards.
2. Key Responsibilities
A. Monitoring & Evaluation (M&E)
- Develop, update, and implement project-specific M&E plans aligned with the log frame and donor requirements.
- Design and roll out monitoring tools (e.g., beneficiary registers, activity tracking formats, pre/post-tests, checklists).
- Conduct regular field visits to monitor activity implementation, beneficiary feedback, and quality assurance.
- Coordinate with field teams to ensure timely and accurate data collection and verification.
- Ensure M&E integration of cross-cutting themes: AGD, Protection, AAP, Environment, etc.
B. Data Collection, Analysis & Reporting
- Maintain and updated beneficiary database, activity trackers, and indicator matrix.
- Use tools like Kobo, Activity Info, or Excel to aggregate and analyse data.
- Prepare data visualizations, dashboards, and summaries to inform project progress and decision-making.
- Lead the compilation of weekly, monthly, and quarterly progress reports, ensuring accuracy, completeness, and alignment with donor templates.
- Compile and submit donor-specific Activity Info or Partner Portal reports in coordination with PM.
C. Documentation & Learning
- Document case studies, success stories, lessons learned, and project highlights.
- Maintain a repository of photographic and narrative evidence of project activities and results.
- Contribute to internal learning and reflection sessions and participate in After Action Reviews (AARs).
- Coordinate with the Communications or Program Quality team for visibility content and knowledge products.
D. Accountability to Affected Populations (AAP)
- Support the establishment and management of beneficiary feedback and complaint response mechanisms.
- Log, track, and analyse feedback data and ensure timely referral to concerned teams.
- Ensure community awareness of accountability mechanisms, including safeguarding, PSEA, and reporting channels.
E. Coordination & Capacity Building
- Work closely with project team to ensure real-time information flow from the field.
- Train Social Mobilizers on M&E tools, ethical data collection, and safeguarding during assessments.
- Collaborate with third-party monitors, donors, and government counterparts during visits or evaluations.
3. Safeguarding & Code of Conduct:
The Monitoring & Reporting Officer is expected to uphold and promote the organization’s values and safeguarding commitments, including the prevention of sexual exploitation and abuse (PSEA), child protection, confidentiality, and data privacy. The officer must ensure that M&E activities do not pose risk or harm to beneficiaries.
4. Skills & Competencies
- Strong knowledge of M&E tools, frameworks, log-frames, and indicators.
- Proficiency in data analysis software (Excel, SPSS, Power BI), mobile data collection tools.
- Excellent report writing and presentation skills in English; working knowledge of Urdu and/or Pashto is desirable.
- Strong interpersonal and communication skills to work effectively with field teams and communities.
- High attention to detail, analytical thinking, and problem-solving ability.
