Administrative Support:
Manage office supplies inventory and place orders when necessary.Organize and maintain filing systems (both physical and electronic).Assist in scheduling meetings, preparing meeting agendas, and documenting minutes.Handle incoming and outgoing correspondence, including emails, letters, and phone calls.Coordinate travel arrangements for staff, including booking tickets, accommodation, and transport.
Office Coordination:
Coordinate day-to-day office activities and ensure that all operational procedures are followed.Maintain communication between various departments and ensure smooth workflow.Assist in the onboarding of new employees, including managing employee records and setting up workstations.Oversee the maintenance of office equipment and liaise with vendors for repair and servicing when needed.Ensure that all company policies are adhered to by staff and handle any internal coordination or communication.
Reporting & Documentation
Prepare regular reports as required by management (e.g., operational reports, expense reports, etc.).Monitor office expenses and budgets to ensure efficient use of resources.Handle and maintain confidential information and documents.
Event and Project Coordination:
Assist in organizing internal events such as staff training, meetings, and company events.Coordinate with external parties for events, workshops, or conferences.Provide logistical support for company projects and ensure deadlines are met.
